Gems, or custom instances of Gemini focused at specific tasks, can now incorporate files in their instructions for “more tailored and contextually relevant responses.”
When creating Gems, which Google says today has been “one of the most used Gemini Advanced features” since the August introduction, you can now upload (under “Knowledge”) up to 10 files:
- Document/text files: Google Docs, TXT, DOC, DOCX, PDF, RTF, DOT, DOTX, HWP, HWPX
- Data files: Google Sheets, XLS, XLSX, CSV, TSV
In the case of Google Docs and Sheets, “Gems will automatically recognize the latest updates” and revisions. These files will serve as source material. Example of how this can be useful in work contexts include:
- Corporate style guides that instantly creates or refines brand-aligned copy for websites, email subject lines, or social media posts.
- Project files to create a project specific assistant
- Internal documents which can be referenced at any time, such as how to best provide customer service based on a handbook or other best practices
- HR documents to easily reference and find answers to common questions
- Product specs and instruction manuals for quick troubleshooting
- Customer feedback to easily identify trends and areas of improvement
- Education standards to plan lessons and create content that align with your school’s needs
- Grant research and notes to help accelerate the research process and drive innovation
This is rolling out to Gemini Advanced subscribers via Google One and Google Workspace (Gemini Business, Enterprise, Education, or Education Premium add-on).
Meanwhile, Gemini for Workspace subscribers will soon see six new premade Gems:
- Marketing insights can help marketers focus on tasks such as calculating customer acquisition cost or leveraging historical data to forecast future behavior.
- Sales pitch ideator can help sales teams create compelling pitch materials to drive conversions.
- Hiring consultant can help hiring teams create consistent job descriptions or interview questions.
- Outreach specialist can help sales and customer support teams to craft personalized messages to customers.
- Copy creator can help marketing teams write compelling on-brand content.
- Sentiment analyzer can help customer-facing teams analyze feedback and reveal sentiment trends over time.
Similarly, Google is rolling out the ability for Workspace accounts to use the Gemini app on Android “over the coming weeks.”
For example, take pictures of handwritten notes and export them into Google Docs or Gmail, or create presentation-ready visualizations of a chart that was drawn on a whiteboard, all with the enterprise data protections Google Workspace customers are accustomed to.
